The proofreading team couldn’t keep up with growing project volumes

Lohmann & Rauscher (L&R) is a leading international supplier of innovative medical devices and hygiene products. In 2017, the company started its search for an automated proofreading solution to replace manual proofreading.

The 20-member Packaging Development Department needed a faster way to complete packaging and labeling checks.

When done manually, reviewing instructions for use (IFUs) would routinely take up several hours per product. The process involved multiple correction cycles — and still wasn’t error-free.

During that time L&R’s product portfolio was growing. Packaging for existing products also had to be regularly updated to stay compliant with changing regulations.

This meant that the team had to do more, without hiring more proofreaders. They started looking for a solution that would increase their productivity and speed up text and artwork checks.

Together with the IT Department, the Packaging Development and Global Portfolio Management teams developed a list of requirements for a content verification solution.

These requirements included ability to:

•  compare text in different languages, including Chinese and Arabic
•  quickly review long documents, such as packaging information inserts
•  compare images.

The solution also had to meet compliance requirements with the EMA and FDA, comply with GxP and GAMP 5 systems, and, finally, go through the L&R validation process.

The Packaging Development team had first heard about TVT in 2014 and added it to their shortlist of tools to test and compare. 

Because of its ability to accurately and quickly compare both text and artwork, TVT was chosen as the preferred option. After that the teams tested it in their everyday work environment and the senior management signed off on the purchase

After completing validation and optimizing the L&R’s manuscript creation process based on Schlafender Hase recommendations, the team was ready to use TVT.

After the rollout, time savings were immediately noticeable.

For large, multi-language user instruction files, checks could be completed in just one hour instead of 10 hours on average. Through that efficiency gain TVT had paid for itself within a year.

Additionally, team members reported feeling more confident in verification results, knowing that TVT was going to find errors and prevent product recalls.
