Looking for a way to automate a 3-person review process

To make sure that no error slips by, the Medical Information Department relied on a rigorous proofreading process. With increasing workloads, that approach was no longer sustainable.

Dr. Pfleger Arzneimittel’s core production is over-the-counter and prescription medication. Every single product must be verified, reviewed and approved by the Medical Information Department. 

Previously, each document was reviewed by a 3-person team. 2 people checked the document together. Then, the department manager completed a final review before printing out the file and handing it over to Regulatory Affairs.

Once the documentation was approved, the process started all over again — this time comparing the Word file with the printer’s proof PDF.
While recording everything on paper helped prevent errors, this approach was time-intensive and difficult to sustain as workloads increased.

Automating document comparison with TVT

To reduce the workload, the team started looking into ways to automate some of the proofreading steps.

After hearing about TVT, Dr. Anna Derr, Senior Project Manager of the Medical Information Department, and her manager decided to try using it for a month.

They wanted to make sure that the product could replace the current verification process for Word to PDF comparison.

Thanks to TVT reporting, the Medical Information Department could switch to a fully digital proofreading process.

Initially the Medical Information Department ran TVT comparisons on digital files, but still printed them out for internal handoffs, using a custom stamp to show that they went through TVT.

Once the team agreed that TVT reports can be used for the final printing approval, they started keeping all of the product records in the digital form.

At this point, content verification is done by 1 person instead of 3, with the department primarily using TVT to review package leaflets.
