Artwork reviews slowing the team down — and errors slipping through

Pharmanovia’s artwork team wanted to improve review accuracy while speeding up checks.

They typically compared PDF artwork documents against approved documents in Word — but leaflets took too long to review. And even though the team checked them multiple times, some discrepancies were missed because of the high workload.

After finding out about TVT from their sister company, Paulina Hughes, Associate Director, and Samantha Turff, Artwork Manager, scheduled a demo. They soon decided to integrate TVT into the leaflet artwork comparison flow.

Making TVT checks a mandatory part of the process

The artwork and the Regulatory Affairs (RA) team complete leaflet reviews faster.

With TVT implemented, the artwork team can see the differences between the approved Word document and the new artwork version in PDF without having to re-read the entire document.

TVT also helps compare PDF to PDF when a Word document isn’t available, which is sometimes the case at Pharmanovia.

The RA team now simply reviews TVT reports to confirm that no errors have been introduced, speeding up that stage of the process as well.

“And obviously within our team, but also within the regulatory team, they're a lot more confident in approving artwork … once they've reviewed the report or any annotations … then they have that 100% security and knowledge that the text matches whatever is approved by the health authority.”

“Most of our work is for the leaflets. Because it's such a huge amount of text, it's very hard to proofread them manually. So that's why we use TVT and it's a mandatory part of all of our leaflet creation.”

Next phase: connecting TVT to the artwork management software

As a growing company, Pharmanovia is looking for ways to improve their internal processes.

The primary reason for choosing TVT was preventing deviations in leaflets.

But TVT also helps save time on project setup. For example, TVT recognizes and excludes slug areas in InDesign, so that they don’t have to add exclusions manually.

The next step for the artwork team is connecting TVT with their artwork management software to prevent accidental errors from exporting and re-importing PDF files.
